Dynamics 365 Field Service: How to Convert a Work Order to an Invoice

October 2, 2020 Tanya Regna

Need to optimize your invoicing process for field services? With traditional field service management, this can be a highly manual task that’s error-prone and time-consuming. Not only does manual invoice creation waste time that workers could be spending on more valuable tasks, it can hurt your cash flow by slowing down billing. On top of that, invoices that contain errors or are slow to arrive reduce customer happiness and ultimately can hurt your bottom line

Dynamics 365 Field Service changes all of this by streamlining and automating the invoice creation process. Once a work order is completed, you’ll save time and eliminate the potential for errors by converting work orders into invoicewith a single click.

Here’s how easy it is to convert a work order to an invoice with Dynamics 365 Field Service. You can also see this in action by watching our quick demonstration video:

How to Convert a Work Order to an Invoice in Microsoft Dynamics 365 Field Service

1. Start with a work order that is completed. That means all of the bookings have been entered and marked complete, all service tasks have been completed, required fields and services have been entered, and the work order has a substatus of ready for invoice.

2. Just change the system status from open-completed to closed-posted, and this will automatically generate an invoice with the parts and service already entered.

3. An employee can open and review the invoice, entering additional information if needed. The invoice number will tie back to the work order number, and the products and services will be displayed for easy review. The invoice date will be today’s date.

4. Confirm the invoice. At this point it will get marked as billed and become read-only for editing, and will become available in your ERP system (if it’s integrated with Dynamics 365 Field Service).
