From Insight to Action: Triggering Power Automate from Power BI Alerts

Microsoft Power BI is a robust tool that can pull your business information together in a meaningful way, providing insights you can use to drive operational efficiencies. While insights at your fingertips is a game changer, what would it mean if those same insights could take things a step further and produce automated action?

Power Automate allows you to create automated workflows that connect your business apps and services with low/no-code. Pairing this feature with Power BI alerts opens the door for generating emails, tasks, and record updates based on your reporting data.

Business Use-Cases for Pairing Power Automate with Power BI 

Here are examples of how you can use Power Automate to set up several types of alerts in Power BI: 

  • Sales—to monitor the sales performance of your products, regions, or salespeople. When an alert is triggered, you can use Power Automate to send an email to the relevant stakeholders, create a task in <Planner> or <To Do>, or update a record in Dynamics 365 or Excel. For example, you can send a congratulatory email to your top salesperson or a motivational email to your bottom salesperson. You can also create a task to buy a cake for your team or update a record to show how much commission you earned. 
  • Marketing—to track the performance of your marketing campaigns, such as the number of leads, conversions, or revenue generated. When the alert is triggered, you can use Power Automate to send an email to the marketing team, create a post in Teams or Yammer, or update a record in Dynamics 365 Marketing or HubSpot. You might send an email to your boss to brag about your brilliant campaign or a post to your team to thank them for their hard work. You can also update a record to show how much budget you spent or how much ROI you achieved.  
  • Service—to track the performance of your customer satisfaction scores, customer retention rates for accounts, and customer loyalty. When there's a new alert triggered, you can send an email to the customer success team congratulating them on achieving high CSAT scores, create a task to follow up with at-risk customers, or generate a Teams post congratulating your teams on building and maintaining stable customer-loyalty KPIs. 
  • Operations—to monitor the operational efficiency of your processes, such as the inventory level, order fulfillment, or customer satisfaction. When the alert is triggered, you can use Power Automate to send an email to the operations manager; create a ticket in Dynamics 365 Customer Service, ServiceNow or Zendesk; or update a record in Dynamics 365 Supply Chain Management. As specific examples, you can send an email to your manager to alert them of a potential issue or a ticket to your support team to resolve it. You can also update a record to show how much inventory you have or how many orders you shipped. 
  • Finance—to track the financial performance of your organization, such as the revenue, expenses, or cash flow. When there's a new alert triggered, you can use Power Automate to send an email to the finance director, create a report in Word or PowerPoint, or update a record in Dynamics 365 Finance or QuickBooks. You can also send an email to your director to report the good news, a report to your board to impress them, or update a record to show how much money you made or saved.
